Job Summary:
We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to Amy Welborn, Vice President and Wealth Manager.
This is not a traditional administrative assistant role. The ideal candidate will become a trusted extension of Amy and will help create capacity for her to focus on high-value client work, leadership, business development, and strategic initiatives.
The right person will be someone who naturally sees what needs to be done, follows through without being asked, communicates clearly, protects confidential information, and enjoys bringing structure and organization to a busy environment.
You will work closely with Amy as well as other members of the Steward Wealth Strategies team to keep priorities moving, ensure details don’t fall through the cracks, and help the business execute at a high level.
Key Responsibilities:
Manage and organize Amy’s calendar, meetings, appointments, and priorities.
Help prepare for leadership meetings by gathering information, organizing materials, and tracking follow-up items.
Take leadership meeting notes and maintain clear action-item lists.
Help Amy stay focused on the highest-priority initiatives by proactively managing details and deadlines.
Draft and organize emails, correspondence, presentations, and internal communications.
Coordinate meetings and communication with clients, prospects, team members, and outside professionals.
Assist with travel planning, scheduling, events, and other executive logistics as needed.
Serve as a professional and welcoming point of contact on Amy’s behalf.
Handle sensitive and confidential information with discretion.
Requirements:
2 + years of experience in an executive assistant, operations, financial services, client service, project management, or similar role.
Strong organizational and time management skills.
Highly professional written and verbal communication skills.
Have a high degree of professionalism and confidence while interacting with leadership members
Strong attention to detail.
Proficiency with Microsoft Office, particularly with Teams and Outlook.
Ability to handle confidential information professionally.
High level of character and integrity. Must embody our core values.
